Designation: PA/Secretary to the Bishop of Paisley (35 hrs per week at £9.72ph)

Responsible to: The Bishop of Paisley & Trustees
Main Function: Provide Administration/PA Support to the Bishop of Paisley.
The post holder is to provide and maintain the Bishop’s diary and all secretarial needs as they arise including general administrative duties - communication to the wider diocesan parishes/departments.
Job Activities
Primary telephone/visitor coordinator for the Diocesan Centre.
Supporting the Bishop - ensuring accurate diary management.
Liaising with Parishes, Religious and educational organisations, individuals and families including welcoming visitors into the Diocesan Centre.
Travel Arrangements for the Bishop.
Daily processing of letters and emails on behalf of the Bishop.
Organising Diocesan Masses and religious events including the collation & provision of ceremonial booklets and any catering requirements.
Processing and filing of Marriage Dispensations/Teaching Approvals/Papal Audience and Papal Blessings/Celebrets & Certificates of Commendation.
Weekly compilation of ‘Ad Clerums’ and other correspondence to Parishes and Religious. Including weekly bulletin notifications.
Communication to parishes via email on behalf of the Diocesan Clergy.
Processing and recording of postal mail for the Diocesan Centre and liaising with other in-house departments.
Diary management for all conference and meeting room within the Diocesan Centre.
Responsible for the following equipment/supplies.
Photocopying.
Updating the religious contact/school database.
Ensuring sufficient funds are available on the FAX Machine.
Coordinator for ordering stationery and office sundries/cleaning supplies.
